Job Summary: The VOLUNTEER COORDINATOR will provide administrative support to the Director of Volunteers including, but not limited to: onboarding of volunteers, coordination of seasonal projects; supporting assigned CCANO programs in filling volunteer roles; works collaboratively as a team within the Department of Institutional Advancement and assists with volunteer needs as needed throughout CCANO. Ideal candidate should possess initiative, good judgement, ability to maintain professional demeanor and inclusive environment that supports the various needs of the Volunteer Department and agency as a whole with professional-level administrative support, including organization, implementation, and completion of multiple projects as directed by supervisor.

Duties/Responsibilities: • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for the Director of Volunteers. • Assists Director of Volunteers in coordinating and executing a wide range of volunteer opportunities within the agency to advance departmental goals and program needs. • Assists in maintaining a professional and welcoming atmosphere in volunteer services by answering phones, email correspondence, and scheduling. • Database entry and maintenance of volunteer software; Volunteer Hub and Raiser’s Edge. Maintain accurate volunteer records. • The coordinator supports and engages with volunteers to promote the development and retention of consistent volunteers. • Abides by the highest level of safety, compliance, and confidentiality in the Volunteer Department and agency to ensure safety of program clients and volunteers. • Informs volunteers of policies, procedures, and standards of volunteer services. • Assists in the maintenance of accurate records, and prepares/edits monthly written reports. • Works closely with agency programs to foster partnerships for all aspects of volunteer opportunities; including welcoming volunteers at various sites and volunteer appreciation events. • Keeps supervisor updated on volunteer projects, issues, and upcoming opportunities. • Assists the Director of Volunteers in seasonal activities; Thanksgiving and Christmas adoption programs, guild events, etc. • Assists in planning and executing summer service program, SERVE, for high school students, including overseeing teen volunteers during these events. • Performs other duties as directed by supervisor. Required Skills/Abilities: • Excellent verbal and written communication skills; Excellent organizational & interpersonal skills; Able to type minimum of 50 words per minute; Extensive knowledge of office administration, clerical procedures, and recordkeeping systems; extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. • Ability to work some nights and weekends as events dictate. • Must have reliable personal transportation for events away from the office. • Physical Demands: light physical activity performing non-strenuous daily activity of an administrative nature, as well as lifting heavy items during seasonal events. • The ability to: work as part of a team and manage assigned tasks from beginning to end in a timely and professional manner; manage multiple tasks simultaneously; Pay attention to detail; and be committed to providing quality work results. • Excellent time management skills with a proven ability to meet deadlines. • Ability to function well in a high-paced, and at times stressful, environment.
Physical Requirements: • Prolonged periods sitting at a desk and working on a computer. • Must be able to lift up to 30 pounds at times. • Physical Demands: Includes sedentary physical activity performing non-strenuous daily administrative nature activities and required strenuous activities that include but are not limited to: A. Stand less than 33% of time on duty. B. Walk less than 33% of time on duty. C. Sit between 33% and 66% of time on duty. D. Use of hands to finger, handle or feel over 70% of time on duty. E. Reach with hands or arms less than 70% of time. F. Full ability to talk and hear. G. Correctable vision required. H. Able to lift/carry up to 30 lbs.
Minimum Educational and General Qualifications: Bachelor’s degree and 3 – 5 years in an administrative role, preferably in a Volunteer Administrative Support role. Demonstrated Proficiency with database management and Microsoft Office Suite, especially Word, Excel and Power Point, is required. Must be able to maintain the highest level of confidentiality and be able to handle sensitive material concerning the organization, its programs, and staff.
