Staff Assistant - Family Practice Residency
Associates or Business Administration degree, with minimum of 5 years as an administrative secretary in a health related field. Must type a minimum of 60 wpm and have demonstrated advanced experience using a variety of computer software products, i.e., Microsoft Word, Excel, Power-point.
Provides all administrative secretarial support for the Family Medicine Residency Program. Must create and maintain a favorable "first impression" for all visitors, team members and applicants interested in Family Medicine. Requires excellent organizational skills and the ability to be creative. Responsible for all clerical related support for the department including attending and taking minutes at all departmental meetings, processing, filing and safeguarding of all related documents in an organized, efficient manner. Must keep individual resident performance folders current and organized. Responsible for preparing, distributing, receiving and accurately recording all residency evaluations for the department utilizing the New Innovations data system. Assists with monthly resident rotation schedules. Responsible for the on-going training for the use of the New Innovations data system. Maintains the weekly didactic schedule including the confirmation of presenters, presence of required AV equipment, recording attendance in New Innovations and the distribution of surveys following the meeting. Responsible for inviting prospective applicants, creating and confirming the interview schedule and assists with coordination of the interview day, as well as a variety of recruitment activities and organizes the annual graduation event. Actively serves as the liaison between the residents, faculty, attending medical staff and hospital team members in managing day-to-day operations of the department. Requires mature judgment in establishing work priorities and the efficient management of time and resources.
