External Relations Coordinator & Assistant Business Manager
The Coordinator position is responsible for relationships between the department and external groups; including maintaining and cultivating relationships with alumni, building strong ties between corporate partners, coordinating with the LSU Foundation on the stewardship of donor gifts, working in conjunction with the LSU Olinde Career Center and company representatives on the development and execution of the department's student recruitment program, working with department constituents to plan events, and developing marketing and communication strategies for the department. Position will assist Business Manger in all workday related approval/financial activity. Facilitates graduate student relations for scholarships, enrollment, HR appointments and deadlines.
Duties Include:

20% Alumni and Foundation Relations - Responsible for monitoring and reconciling financial activity for Foundation donor accounts and comparing activity with LSU financial accounts using BENGALS system. Communicate actual versus budget activity with faculty that holds foundation professorship monthly. Manages alumni donor records in the TAILS alumni system. Maintains/Reports on financial information of donor giving to the department. Work closely with the LSU Foundation system on a monthly basis to assist with managing all donor activity and making any/all necessary adjustments/creations as needed.

20% Graduate Admissions - Applies knowledge of university admissions policies to process graduate students transactions. Analyzes graduate application, test scores, and transcripts for completeness. Work closely with the graduate school to ensure all graduate related forms are processed and turned in timely. Work with department graduate admissions committee to accept prospective students into graduate program and initiate offer letters.. Facilitate the hiring process for graduate assistants. Maintain graduate student access database outlining GPA, status, scholarship criteria etc. Work closely with students to assist them with all needs concerning the graduate level process.

20% Assistant Business Manager - assist with approving/auditing/reconciling/correcting all workday related transactions. Involves auditing/reviewing expense reports, supply invoices, and purchase orders for accuracy of information and payment details. Daily communication with accounts payable and travel/HR/SPA on issues involving transactions. Research problems for correctness and consult with Geology faculty/staff in order to correct all issues. Assist/monitor graduate assistant student actual vs. budget activity to ensure accuracy. Involves communicating with the grad admission committee on activity timely and making any/all necessary adjustments as needed.

10% Scholarships - Maintain knowledge of scholarship criteria and available scholarship funds in order to process awards for the department. Maintain and utilize database to produce detail reports to Scholarship Committee on award criteria and students needed to implement action plans of awards and future donations needed. Must be knowledgeable of student financial resources. Reconcile scholarship accounts monthly. Monitor transactions on accounts for accuracy and proper balances. Update scholarship accounts and process transactions as needed to elevate discrepancies. Work with SPA and foundation to create new scholarship accounts for the department.

10% Strategic Marketing and Communications - Works closely with the department recruiting committee on student recruiting goals and strategies. Develops flyers, brochures, pamphlets, and promotional items to distribute to prospective undergraduate and graduate students. Coordinates department presence at on-campus recruitment events. Organizes the department's presence at select geological conferences throughout the United States through trade show displays and materials in order to recruit students and connect with alumni. Responsible for communicating with alumni. Manages alumni events and donor relations.

10% Social Media Marketing - Responsible for all aspects of departmental marketing strategies. Create various campaigns for different audiences through print and digital media. Manages and contributes to department social media platforms including Facebook, Twitter, and LinkedIn. Serves as webmaster of the department homepage using the OmniUpdate web content management system. Proactively solicits ideas for department news stories from faculty, students, and alumni. Develop content, layout design, and distribution of the annual Alumni Magazine.

5% Corporate Relations/Student Recruitment - Assist recruitment programs for student career placement. Works closely with the LSU Olinde Career Center to promote On-Campus Interviews. Presents information and serves as a guide for students to ensure they are knowledgeable of processes and using the Careers2Geaux system. Reaches out to company representatives about hosting information sessions or other events within the department. Corporate Liaison with industry, faculty, and LSU Foundation. Assists with campus visits and attends meetings as needed.

5% Other duties as assigned by the Department Chair or Assistant to the Chair - Review fuel expenses incurred by the department van fleet and inputs data into Access database. Assist faculty liasion for the Department’s Lecture Series including working the the guest speaker for travel plans, purchase of food and refreshments, and set up for the pre-lecture reception. Takes photographs at department events and maintains an orderly archive of photos for use in marketing. Arrange travel for department guest and process related expenses through Workday.
Minimum Qualifications:
Bachelor's degree with 3 years of business level experience and proficient in Microsoft office products.
Preferred Qualifications:
Bachelor's degree with 3 years of Professional level experience a plus. Proficient in Microsoft Office products, LSU Workday, HR system, General Ledger and BENGALS foundation system a plus. Business level experience and proficient in Access a plus.
