Coordinator for Center for GeoInformatics.  Reports directly to the Chair of Civil & Environmental Engineering/Director of C4G.

 

Job Responsibilities:

25%  Managing all paperwork and processes pertaining to foreign and domestic travel authorizations,  itineraries, vouchers, check requests for staff and students.  Organizing travel, lodging, function and event arrangements for staff, students and invited speakers.

25%  Analyzing, loading, monitoring and tracking requests for purchase requisitions, solicitation of bids, receiving reports to ensure timely invoice payment.  Acting as liaison between the C4G, CEE and other campus departments and vendors.  Processing all Lacarte entries and reconciliations.  Staying abreast of all policies pertaining to travel, purchasing, lacarte to ensure compliance.

20%  Oversight of financials and budgeting for C4G which includes preparing check and credit card deposits and reconciling and producing monthly report for revenue account to be submitted to Chair of CEE/Director of C4G.  Handling of C4G grants. Preparing year-end accrual reports if applicable.

15%  Coordinating with C4G staff and CE Undergraduate Program Assistant with regards to hiring student workers with Chancellor Student Aid and Federal Work Study Program for C4G.  Supervising student workers and in-charge of interviewing, training, supervising and establishing work schedules of student workers and assigning them to staff.

10%  Managing and organizing C4G hosted marketing outreach events to partners, clients and the public through C4G social media and web based content and print materials.  Other duties as assigned.

5%  Managing the processing of all personnel forms for C4G personnel, graduate assistants, student workers.  Collaborating with C4G staff and keeping track of grant/service end dates in personnel forms.

 

Minimum Qualifications:

Bachelor’s degree.  Must have related work experience in Accounting, Personnel, and Office Administration.   Must be proficient in WORD and Excel. 

 

Preferred Qualifications:

MBA degree with over two years of related work experience, familiarity with common Web page design and editing frameworks (ex: HTML, CSS, JavaScript, PHP).  Familiarity with Web content management interfaces (ex:  Joomla!, WordPress, Drupal, etc.).  Familiarity with Adobe Creative Cloud or other design tools.
