SUMMARY: The Membership and Accounting Associate is the customer focused and database support person for WYES and the accounts payable/receivable liaison to the NETA Business Center providing daily accounting support.

ESSENTIAL DUTIES and RESPONSIBILITIES: Membership • Interact regularly with staff, WYES members, donors, community members, and vendors via mail, phone, email, and in person; • Process daily and monthly membership donations including payment processing and posting; • Perform timely and accurate membership data entry, maintain accurate records and overall integrity, security, and quality of the donor database through data hygiene and mailing list management; • Development of donor lists and email distribution lists; • Coordinate direct mail and digital initiatives with contracted vendors for various fundraising campaigns; • Develop content for online Membership information and manage the online donation form; • Coordinate on-air and digital fundraising campaigns across departments as well as with vendors to ensure all details are handled for on-air, online, database management, call and/or text centers, thank you gift ordering and fulfillment activities, and accurate and timely reporting of activities; • Complete Matching Gift forms and protocols; • Generate tax receipts and acknowledgement letters; • Work with business office in reconciling bank statements for donor and special event activities; • Maintain a thorough understanding of the donor database, PCI compliance, and ability to manage multiple vendors, call center, merchant card processors, and shipping of store purchases and member thank you gifts; • Assist with/manage the financial processing for and during Special Events; • Contribute to e-news communications with relevant content to supporters and donors; • Manage the online store sales, fulfillment, and reporting; • Other duties as assigned. Occasional evening and weekend work is required. Accounts Payable/Receivable (Supports NETA Accounting with these tasks): • Station accounting liaison to NETA; Provide accounting support to the WYES CFO at NETA; • Sort invoices and work with department managers on approvals and coding of AP Invoices; • Maintains expense reports and supporting documentation for station issued credit cards; • Secures and/or ensures WYES staff secures W9’s for vendors to be scanned with AP invoices; • Responsible for timely/accurate sending of AP invoices with approvals and proper account codes to NETA for further processing; • Receive and process all WYES entities’ cash receipts and make bank deposits daily by remote deposit and/or delivery at the banking institution for the deposits and scan a full copy of the deposit and check images to NETA for further processing; • Assign Job Numbers for Studio and Facility Jobs; • Create and Scan Accounts Receivable requests and supporting documentation for Studio and Facility jobs/leases to NETA for further processing; • Helps prepare written adjusting journal entries as needed for miscoding of AP or AR; • Process manual checks as requested from WYES CFO at NETA and/or CEO; • Directs agency tax letters and state tax rate notices to NETA; • Maintain file for Certificate of Liabilities for the annual workers comp audit; • Complete credit applications as requested; • Other duties as assigned.

KNOWLEDGE/SKILLS & ABILITIES: • Strong accounting/bookkeeping knowledge; • Operational knowledge and fluency in Microsoft Office suite of applications, especially Word, Excel, and Outlook; • Excellent accuracy, attention to detail, and organizational skills; • Ability to work collaboratively on multiple projects simultaneously; • Ability to work proactively to meet deadlines; • Ability to communicate effectively with all levels of staff; • Ability to accurately perform mathematical calculations rapidly and accurately. • Excellent analytical and problem-solving skills; • Possess excellent organizational and time management skills to manage competing workloads; • Ability to keep sensitive information confidential; • Ability to take responsibility and ownership for tasks and to use initiative and creativity to resolve problems; • Positive and collaborative team spirit and positive interpersonal skills with ability to support colleagues outside of primary responsibilties; • Commitment to excellent service and satisfaction with WYES constituents.

EDUCATION AND EXPERIENCE: (An equivalent amount of training, education and experience will also be considered.) • Associate of Accounting Degree or equivalent experience; • CRM or other membership database software knowledge a plus+; • Three to five years’ experience in a non-profit or corporate setting, with increasing responsibility supporting senior level management; • Proven ability and skills in accounting from quiz results; • Customer service and support training.
